Personal Assistant – Portuguese Speaker

Job Brief:

 

Are you an experienced Personal Assistant, who can ensure the smooth operation of an executive office through meticulous organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously, including planning events, overseeing office maintenance, managing administrative tasks, and running errands?

 

Also, if you are a native Portuguese speaker who is fluent in English, then you are the one we are looking for!

 

Note that this role requires a high level of discretion and professionalism as you will handle confidential information and serve as a primary point of contact.

 

Key Responsibilities:

 

  • Scheduling and Calendar Management: Efficiently maintain and coordinate the CEO’s professional and personal calendar, ensuring seamless scheduling of meetings, appointments, and family engagements. Anticipate and resolve scheduling conflicts, and provide timely reminders.
  • Event Planning and Coordination: Lead the planning and execution of both corporate and personal events, including family holidays. Manage all aspects from venue selection to coordinating with vendors, ensuring events are memorable and aligned with our standards.
  • Appointment Management and Administrative Duties: Serve as the liaison for service providers, manage household bills, and maintain crucial databases. Support the CEO with administrative tasks, including document preparation and managing financial records. Oversee office operations, ensuring a productive and organized environment.
  • Errands and Task Management: Handle personal and professional errands with a high degree of efficiency and attention to detail. Ensure the CEO’s day-to-day requirements are met promptly and accurately.

 

Required Qualification / Experience / Skills:

 

  • Bachelor’s degree preferred, with at least 5 years of experience in an executive or personal assistant role.
  • Exceptional communication skills, both verbal and written, with a meticulous eye for detail.
  • Advanced proficiency in Microsoft Office Suite and familiarity with CRM systems.
  • Strong organizational, time management, and problem-solving skills.
  • Proven ability to work in a fast-paced environment, anticipating the needs of the CEO.
  • Demonstrated discretion and professionalism in handling confidential information.
  • Experience in a corporate or executive office is highly desirable.
